The Certificate page is where you manage the specific applicant(s), ranking list(s) and certificate(s) content. To access this tab, select a Request Number in Pending Recruitment status from the Dashboard, click the Vacancy Number link in the Vacancy Created section, click the + tab and select Certificates from the drop-down list to access the list of certificates issued for the vacancy, and click the appropriate Certificate Number link. This Certificates option will only be available when one or more certificates have been issued. The following elements are displayed:
- Certificate Number. This is the certificate number.
- Issued. This is the date and time the certificate was issued.
- Issued By. This is the name of the user who issued the certificate.
- Certificate Type. This is the type of certificate selected when creating the saved list.
- Status. This is the current status of the certificate. The options are:
- Issued. The status when the user issues the certificate.
- Selection Made. The status when the user audits the certificate with at least one applicant designated as Selected.
- No Selection Made. The status when the user audits the certificate with no applicant designated as Selected.
- Expiration Date. This drop-down calendar allows you to input the date certificate will be expired.
- Cancel Certificate. This button allows you to cancel a certificate issued in error.
- Applicant List. This page is where you review applicant records. For additional information, see Applicant List.
- Certificate Information. This page is where you manage the information related to the certificate. For additional information, see Certificate Information.
- Open options dropdown icon. This gear icon allows you to create a review to share content with the Hiring Managers (HMs), show application numbers and View Certificate Amendments.
- Print Certificate. This button allows you to print the certificate. For instructions, see Printing a certificate.
- Notes. This button allows you to add or review notes specific to the certificate. The number next to it indicates how many notes have been added. Along with the note, the system saves the full name of the user who added the note, date, and time the note was added. For instructions see Adding an internal note.
- History. This button displays a record of actions completed on the certificate; including the name of the user, action or change made, and the date and time it occurred.
Note: The View Certificate Amendments option will only display when the certificate has been amended to add or remove applicants after issuance.
