Create a Notification Template

The Create Notification Template page is where you begin the process of creating a notification template. To access this page, click Admin on the Dashboard, click the Manage Notification Templates link in the Templates section, click Notification Templates and click the Create Template button. The following elements are displayed:

Notification template

  • Template Name. This is the name of the announcement template.
  • Template Description. This is a brief description of the notification template.
  • Notification Purpose. This drop-down list is where you select the area of USA Staffing the notification is associated with. The options include:
    • Staffing
    • Onboarding
  • Notification Type. This drop-down list is where you select the type of notification. The options are:
    • Application Received. Automatically sent to applicants after completing the online questionnaire by clicking Submit My Answers.
    • Notice of Results. Provides applicants with a summary of their application status or tentative eligibility for a specific vacancy.
    • Notice of Referral. This letter is used to inform applicants of their referral status by Vacancy ID, Certificate, Certificate Issue Date Range, SSN, Grade, and/or Location. If no specific item is selected, all items will be included in the report.
    • Notice of Results AND Notice of Referral. Provides applicants with a summary of their application and referral status.
    • Disposition. This letter is used to notify applicants of the post certification outcome; for example, another candidate was selected or the certificate was unused. It must be generated and sent after the certificate has been audited.
    • Custom. The Custom Letter allows you to send customized electronic messages about a vacancy to applicants without the need to customize default text.
    • Invitation. This letter is used to invite potential new hires to enter data into the onboarding system for vetting purposes.
    • Tentative Offer. This letter is used to make the tentative offer.
    • Official Offer. This is used to make the final offer.
  • Owning Office. This drop-down list allows you to add the appropriate office.
  • Notification Reply To Option. This drop-down list allows you to select the user who should receive the notification replies. The options are:
    • General Contact
    • Notification Sender
    • Process Owner
  • Tags. This drop-down list allows you to select notification templates based on selected Tags, such as Occupational Family, Appointing Authority or Office. For additional information, see Tags.
  • Subject Line. This is where you enter customized text to be displayed in the Subject Line of your notification template. This text will appear in the email when the template is used as correspondence. This field has a limit of 200 characters.
  • Body Text. This is where you enter customized text and/or drag and drop the appropriate Available Data Inserts to be displayed in the Body Text of your notification template. This text will appear in the email when the template is used as correspondence. For instructions, see Adding available data inserts to a notification template. To add text to inform HR users they need to insert custom text once the template has been pulled into a vacancy, see Entering placeholder text.

  • Available Data Inserts. This is where you drag and drop data inserts to save time and ensure consistency within your notification template.
  • Attachments. When the notification purpose is designated as Onboarding, attachments can be added to the notification template.
  • Header Image. This toggle allows you to display the agency logo when notifications are sent using this template.
