Release 12.1 - 9/18/2020

Certificates

  • When a certificate is expired/unexpired, the system will re-evaluate each applicant’s Record Status Code (RSC) and update as appropriate. If a user modifies the Expiration Date on a certificate, they’ll be presented with the following message: "The Record Status Codes for the applications on this certificate will be updated in the background. This process may take a few minutes to complete, depending on the number of applications."

Release 12.0 - 8/21/2020

Certificates

  • Modified the certificate Status field to update automatically based on the following user actions:
    • Issued – User issues the certificate.
    • Selection Made – User audits the certificate with at least one applicant designated as Selected.
    • No Selection Made – User audits the certificate with no applicant designated as Selected.

Note: Certificates issued before this functionality is deployed will remain in an Issued status until a change is made to the certificate that will trigger the update; for example, toggling Certificate Audit Complete off and back on.

  • Enhanced Certificates tab for enhanced usability by modifying how information is displayed as follows:
    • Renamed the Assigned Reviews column “Reviews”. This column will display the number of reviews in each status (e.g., 5-Active, 2-Returned). This data is hyperlinked allowing users to open a pop-up box including the Review Name, Status, Due (date), and Completed (date). Auto Recalled and HR Recalled counts are combined and listed with a Recalled status; however, users will see the detailed status in the pop-up box.
    • Added a Certificate Status column that displays the certificate status.
    • Renamed the Audited column “Audit Complete”. This column displays a Yes/No value for each certificate instead of displaying the audit date.
    • Added a Certificate Status filter to narrow down results on the page. The default value is All Certificate Statuses.
    • Changed the Show Cancelled Certificates field from a checkbox to a toggle.

Release 11.9 - 7/24/2020

Certificates

  • Enhanced the Amend Certificate functionality within a Certificate to match how this process works within Stored Lists, which includes the following updates:
    • The Amend Certificate toggle activates the functionality to add applicants and to change the order of applicants on a certificate.
    • An edit icon next to each applicant opens a window where users can select to add one applicant at a time from a list of available applicants. Users can choose to add the applicant above or below the selected applicant within the list. Applicants added to a list will be identified with an icon.
    • Users can remove applicant(s) from a list by selecting each record and clicking Remove.
    • Users can add and remove applicants when certificate filtering criteria is being used.
    • History will be captured for all applicants added or removed from a Stored List.
    • Restricted the ability to add applicants on Expired certificates.

  • Added the ability to filter certificates by Veterans’ Preference, Audit Code, and/or Return Status under the Add Filters button to facilitate finding applicants within multi-page certificates.

Release 11.6 - 5/1/2020

Certificates

  • The Certificates tab has been defaulted to display the list of certificates by Issue Date in descending order with the most recently created certificates appearing at the top.

  • Users will no longer have the option to inadvertently create new hire records from an expired certificate that has already been audited with one or more selections or alternate selections; more specifically:
    • The Hired and Vetting return statuses will not be available for an individual applicant audit.
    • The Vetting return status will not be available when auditing multiple applicants simultaneously.

Release 11.4 - 3/6/2020

Certificate

  • Added an Expiration Date field for each certificate.
    • Certificates issued in an office where a default expiration date is set in the Applicant List Default Settings page, the certificate expiration date will be calculated based on date the certificate is issued plus the number of days set until expiration (e.g., if a certificate is issued on July 1 and the default expiration days for the office and certificate type is 30, then the expiration date should be July 31.)
      • If a certificate is issued in an office where a default expiration date is not set, the expiration date will be blank unless a user manually enters a date.
      • Note: Changes made to the Certificate Expiration section of the Applicant List Default Settings will affect certificates issued after the change is made. Changes are not retroactively applied to previously issued certificates.
    • Users with Issue Certificates permission can edit a certificates expiration date.
    • Changes made to the Expiration Date are tracked in History.

  • The Certificate and Certificates list pages will display an Expired label for any certificate that has reached its designated Expiration Date. The following business rules apply to expired certificates:
    • Expired certificates cannot be sent in new or existing reviews.
    • Selections cannot be made from expired certificates.
      • If a certificate expires while it is included in an active review, the Hiring Manager user will be presented with an error message when marking any applicant as Selected.
      • HR users will be presented with an error message when attempting to audit an applicant with a Return Status of either Hired or Vetting.
    • Applicants cannot be amended (i.e., added, removed, or reordered) within an expired certificate.
    • The Certificate Information cannot be changed within an expired certificate.

Release 11.2 - 1/11/2020

Certificate

  • When sending a custom Onboarding, Tentative Offer, or Invitation notification to one or more new hires audited with a Return Status of Vetting or Hired, the system will verify if any of the HR-editable data inserts could not be populated and display an error message indicating which inserts are missing data for correction.

  • Added logic to prevent a certificate audit from being completed if no applicants appear on the certificate.
