Vacancy - Supporting Documents

The Supporting Documents page is where you designate which documents applicants can submit during the application process, and which ones are required. To access this page, select a Request Number in Pending Recruitment status from the Dashboard, click the Vacancy Number link in the Vacancy Created section, and click Supporting Documents. The following elements are displayed:

Supporting Documents Page

  • Supporting Documents. This column displays a list of supporting document types marked as available on the Vacancy Default Settings page; these may include:
    • BIA-4432. This supporting document type is used to support and adjudicate applicants' claim for Indian Preference.
    • Cover Letter. This supporting document type is used for a cover letter providing necessary or additional information regarding the application.
    • DD-214/Statement of Service. This supporting document type is used for the DD-214; providing a verified record of a service member's time in the military, awards, and medals, and other pertinent service information, such as promotions, combat service or overseas service, Military Occupational Specialty identifiers, and record of training and schools completed.
    • Diploma/GED. This supporting document type is used for an applicant’s official or unofficial school graduation documentation.
    • Disability Letter (Schedule A). This supporting document type is used to support and adjudicate applicants' claim for Schedule A appointment.
    • Disability Letter (VA). This supporting document type is used to support and adjudicate applicants' claim for veterans' preference in accordance with the Veterans' Preference Act of 1944.
    • Executive Core Qualifications (ECQs). This supporting document type is used for the Executive Core Qualifications (ECQs) required for entry to the Senior Executive Service.
    • License. This supporting document type is used for an applicant’s license(s).
    • Mandatory Technical Qualifications (MTQs). This supporting document type is used for the Mandatory Technical Qualifications (MTQs) required for entry to the Senior Executive Service.
    • OF-306. This supporting document type is used for information used to determine acceptability for Federal and Federal contract employment and enrollment status in the Government's Life Insurance program.
    • Other. This supporting document type is used for any document that does not already have its own type. You have the option to customize the "Other" document type's title by entering the document name in the text entry box next to the document type.
    • PCS Orders. This supporting document type is used to support an applicant's permanent change of station documentation for employment eligibility.
    • Performance Appraisal. This supporting document type is used for an applicant’s performance appraisal.
    • Professional Certification. This supporting document type is used for an applicant’s certification(s).
    • Proof of Enrollment. This supporting document type is used for an applicant’s official or unofficial school enrollment.
    • Proof of Marriage Status. This supporting document type is used to support and adjudicate applicants' claim for Military Spouse Preference.
    • Reasonable Accommodation Documentation. This supporting document type is used to support and adjudicate applicants' claim for Reasonable Accommodation.
    • Resume. This supporting document type is used for a resume or any other written summary of an applicant’s education, work experience, and accomplishments. This supporting document is automatically marked as accepted and required for all vacancies.
    • Separation Notice (RIF). This supporting document type is used to review separation notification for employment eligibility.
    • SF-15. This supporting document type is used to support and adjudicate applicants' claim for veterans' preference in accordance with the Veterans' Preference Act of 1944.
    • SF-50/Notification of Personnel Action. This supporting document type is used to review accessions, conversions, or separations for employment eligibility.
    • Supplemental Application. This supporting document type is used to supplement an application.
    • Transcript. This supporting document type is used for an applicant’s official or unofficial school record.
    • Writing Sample. This supporting document type is used for an applicant’s writing sample.
  • Accepted. A check in this box marks a document as an accepted supporting document. For instructions, see Accepting applicant supporting documents. For additional information, see Documents.
  • Accepted (Conditional). This label will display if the vacancy is set up to require conditional documents based on Veterans’ Preference and/or Eligibilities selected by an applicant. For additional information, see Vacancy - Settings
  • Required. A check in this box marks the document as a required supporting document. For instructions, see Requiring applicant supporting documents. Note: The maximum number of required supporting documents is 15. A banner will display alerting the user when they have reached the maximum amount (15) of Required documents.It is important to only check the Required box for document types that are required for all applicants. Do not use this feature for items that only apply to some of the applicants. For example, unless the job is only open to Veterans, the DD-214 document type should never be marked as Required. Also, the same concept applies to transcripts. If applicants can qualify without transcripts, they should not be marked as Required. A required document designation cannot be removed after an announcement is open. Any document marked as Required will override the logic applied with the use of conditional documents; therefore, applicants who answer “No” to all eligibility questions will still be required to submit any document designated as Required. When enabling the “Require Eligibility supporting documents for application submission” setting (either via Default Settings or within a Vacancy), we encourage users only mark a document as Required when it will be required of all applicants regardless of their eligibility responses.
  • Hiring Manager Viewable. A check in this box marks the supporting document(s) viewable to the hiring manager in a review.
  • New Hire Viewable. A check in this box marks the supporting document(s) viewable to onboarding users in the new hire record.

Note: Available document types and pre-set associated document types may be the result of the settings on the Manage Vacancy Default Settings page. HR Users may reset this page to the defaults by clicking the Gear icon and selecting Reset Default Document Settings.
